Hillrise After School Program Employee Handbook

Hours:
After School Program hours are 2:30-6:00 PM during non enrichment times.  All
ASP caregivers are encouraged to teach an Enrichment class but it is not a
requirement.  All ASP caregivers need to arrive on time and prepared for
working with children.  If you are unable to work your assigned shift, please try
to trade with any one of the other employees.  If unable to find a replacement
please call the director as soon as possible.  Failing to report to work without a
phone call is considered a voluntary quit.  Excessive absences will result in
dismissal.

There will be occasions when the program will operate on long days or ½ days
when the children are out of school.  There will be a sign up sheet posted so
everyone has a chance to get some extra hours.  We will also host a few Grown-
up’s Night Out parties.  Those are also opportunities for extra hours.  

Please log in your hours worked every day on your electronic time-sheet.  Only
sign yourself in and out.  If you forget, please call or your Site Director with your
hours for the day.  Payroll will be run on 10th and 25th of each month.  You will
be required to project your hours for the 10th and 25th on the 9th and 24th.  
There will be a place on your time-sheet to sign and date that your hours are
true and accurate.  The site supervisor will sign off on your time-sheet before
they are turned over to our payroll facilitator.

Sign In/Sign Out:
Please be sure to sign in all students at the beginning of the program and make
sure the parents sign the kids out.  If you do not know the person picking up the
child do not let the child leave without checking their file for the person in
question and check the ID of the person picking up.  If the person is not on the
list call the parent the numbers on file.  No matter how much a fuss the person
may make, DO NOT RELEASE THE CHILD UNTIL A PARENT IS CONTACTED.  It is
better to be safe than sorry.  

If no one comes to pick up a child, call all the numbers on the list.  If unable to
find someone to pick up the child call the police non emergency number and
they will come pick up the student.  Any time a parent is late we write it down on
the child’s folder in the file cabinet and on the first offense, educate the parent
on the late policy (past 6:05 pm and you are charged $5.00 per minute, 3 late
pickups result in the child being dropped from the program) but we aren’t
charging this one time but we will in the future.  If the folder is noted, if it
happens again the person on duty will know what to do, which is let them know
what their late charges are and note their folder.



Dress Code:
We follow the same dress code as the LCPS.  No spaghetti straps, mid-drift or
cleavage bearing shirts; tank top straps need to be at least 3 fingers wide. No
gang attire or t-shirts with questionable graphics or wording.  If you are wearing
hip huggers, be sure your bottom doesn’t show when you sit or bend down.  
Shorts need to be long enough that if you let your arm hang down at your side,
your longest finger is touching shorts and not skin. Remember to cover the 4 b’
s!  You will be asked to go home without pay if you are not in compliance with
the dress code.

CPR/First Aid Training:

Once we have our full team assembled we will meet for a paid training day to get
our CPR and First Aid Training certification. The training is required by LCPS for
after school care providers.  

In the event of an injury, use your knowledge from your first aid course to help
the child. If a child has a head injury or loses consciousness call 911, then call
me and I will call the parent.  Get another person to take care of the children in
your area.  Do not leave the injured child alone, do not leave the area.  You will
need to give a full account of the injury to the paramedics when they arrive.  
Help prevent accidents and injuries by enforcing safety rules.  

Cell Phones:
Cell phones are great! We have used them at school to contact the caregivers
on the playground when parents arrive and to call 911 when there have been
emergencies.  Having a cell phone on your person is good for the safety of the
students; however, personal calls/texts are not allowed Emergency usage is
permitted only if the director or site manager is notified at the beginning of your
shift.  Cell phones must be shut off completely when entering the school.  
Failure to adhere to this policy will result disciplinary actions up to and including
termination.

Discipline Policy:  
The students need consistent boundaries.  We will go over the rules (which are
few) and the Character Counts Pillars with the students often, but it is inevitable
that some kids will need to be reminded.  Our first step is to calmly redirect their
behavior.  Let them know they are out of line and send them off to do something
else.  If the same child does the same thing again, let them know what they have
done wrong again and give them a time out.  If there is a 3rd infraction the child’
s parent needs to be called to pick up the child and a detailed report written up
and placed in their file.  Never yell, hit, push, pull or drag a student.  If they are
unwilling to comply with time-out, involve the Site Director and he/she will take
over.   We have not had to suspend anyone from the program yet, and hopefully
never will.  The goal is to stay too busy to get into trouble!

Sexual Harassment/personal bubble:

Since we work with children this is not likely to come up, but is something that
must be addressed anyway.  Please do not say or do anything that may make
another person feel unsafe or uncomfortable, be they student or caregiver.          
That includes joking or teasing or name calling.  Do not use profanity on school
grounds.
The students are just children so they must be taught what is appropriate and
what is not.  As their caregivers it is up to us to let them know how to behave.  It
is imperative that they understand personal boundaries and respect for other
peoples need for space.  Hugs are fine as long as they are side hugs.  The
children are not to be picked up by us or each other, nor are we/they to sit in
each others laps. It is inappropriate and unsafe for everyone.  Two people will
always close up for the night for everyone’s safety.

Rule Violations:
Three policy violations in a 30 day period will result in termination of
employment.  You will be given a written reprimand to sign by the Site Director.  
If you feel you have been reprimanded unfairly call Angie for a mediation
meeting.
Payments:

Occasionally you may be asked to take a payment from a parent.  If so, make sure
to write a receipt in the carbon receipt book and leave the payment in the
cashbox.
If you are unable to write a receipt, do not accept the payment!

The service you are providing is invaluable to the parents but more importantly
the students in our program.  Their lives will be richer and fuller because they
have a safe and fun place to be after school!
